Cancellation, Refund and Course Credit Policy
How cancellations, refunds and course credit towards future learning work at AAIS.
1. Introduction
At AAIS Solutions Ltd (“AAIS”, “we”, “us” or “our”), we understand that customers may occasionally need to cancel their enrolment or discontinue a course due to changes in personal circumstances, scheduling requirements or other reasons.
This Cancellation, Refund and Course Credit Policy explains the terms applicable when a customer wishes to cancel a course, discontinue lessons or request the use of a previously paid course amount towards future learning services offered by AAIS.
By enrolling in a course or purchasing our educational services, customers acknowledge that they have had the opportunity to review this policy before making a payment. This policy should be read alongside our Terms and Conditions and any course-specific terms communicated at the time of enrolment.
Nothing in this policy is intended to exclude, restrict or override any rights that customers may have under applicable consumer protection laws.
2. Cancellation of Enrolment or Course
Customers who wish to cancel their enrolment, discontinue an ongoing course or withdraw from a purchased educational programme must notify AAIS in writing using the official contact details provided on our website.
The cancellation request should include the customer's name, the name of the enrolled student (where applicable), the course or subject purchased, and any relevant payment or enrolment reference.
A cancellation request will be considered received when it reaches our designated communication channel. Customers are encouraged to retain a copy of their cancellation request for their records.
Submitting a cancellation request does not automatically entitle the customer to a refund. The financial consequences of cancellation will be determined in accordance with this policy, the terms agreed at enrolment and any applicable statutory rights.
3. Refund Policy
As a general policy, payments made towards courses, tuition programmes, lesson packages or other educational services are non-refundable once the applicable payment has been committed to the enrolment, subject to any statutory rights or circumstances in which a refund is legally required.
Customers are therefore encouraged to review the course details, fees, schedule and other applicable terms carefully before completing their enrolment and making payment.
Where a customer voluntarily decides not to continue with a course, no longer requires the service, changes their preferred subject or chooses to discontinue their learning programme, AAIS will not ordinarily provide a cash refund for the amount paid, except where required by applicable law or expressly agreed otherwise in writing.
However, AAIS recognises that customers may wish to continue their learning at a later date or select a different course. In such circumstances, eligible amounts may be considered for adjustment towards a future course in accordance with the Course Credit and Fee Adjustment provisions set out below.
This general refund policy does not remove or limit any cancellation, refund or other remedy that a customer is legally entitled to receive.
4. Course Credit and Adjustment Towards Future Courses
Although payments are generally non-refundable, AAIS may allow an eligible amount paid towards a cancelled or discontinued course to be adjusted against a future course or educational service offered by AAIS.
This arrangement is intended to provide customers with an alternative to a cash refund where they wish to continue learning with us at a later stage.
Subject to confirmation by AAIS, the following conditions will apply:
- Future course selection: The customer may request that an eligible paid amount be applied towards another course, subject or educational programme offered by AAIS.
- Different course fees: If the selected course has a higher fee than the eligible credit amount, the customer will be required to pay the difference before enrolment is confirmed.
- Lower course fees: If the selected course costs less than the eligible credit amount, any remaining balance will be handled in accordance with the written credit terms agreed with AAIS. It will not automatically become refundable in cash.
- Fees applicable at the time of enrolment: The new course will be charged at the applicable fee in effect when the replacement enrolment is confirmed, unless otherwise agreed in writing.
- Availability: The replacement course will be subject to tutor availability, scheduling and the applicable course requirements.
- Written confirmation: Any approved adjustment will be confirmed to the customer in writing, including the amount applied and any additional payment required.
Course credit is not an automatic cash entitlement. It may only be used in accordance with the conditions confirmed by AAIS and does not affect any refund rights that may apply under law.
5. Future Course Selection and Fee Differences
If a customer chooses to enrol in another course at a later date, the amount eligible for adjustment will be assessed against the fee payable for the newly selected course at that time.
For example, if a customer has an eligible credit of £200 and wishes to enrol in a different course priced at £250, the customer would be required to pay the additional £50 before the new enrolment is confirmed.
If the replacement course is priced below the eligible credit amount, AAIS will confirm in writing how any remaining balance may be used, retained or otherwise dealt with under the agreed credit arrangement.
Course fees may vary depending on the subject, academic level, programme duration, tutor availability and other applicable factors. Consequently, the amount payable for a replacement course may differ from the amount originally paid.
Any adjustment will be calculated using the eligible credit amount approved by AAIS, rather than automatically treating the full original payment as available credit.
6. Cancellation During an Ongoing Course
Where a customer wishes to discontinue an ongoing course after lessons or other services have commenced, the customer should notify AAIS in writing as soon as reasonably possible.
The treatment of any fees paid in advance will depend on the applicable enrolment terms, the services already provided, the services remaining to be delivered and any relevant statutory rights.
AAIS may consider eligible unused amounts for adjustment towards a future course, subject to written confirmation and the terms applicable to the original enrolment.
Customers should not assume that discontinuing attendance automatically cancels their enrolment or creates an entitlement to a refund or credit. A formal cancellation request is required so that the relevant arrangements can be reviewed.
Where applicable law requires a refund, price reduction or other remedy, AAIS will act in accordance with those requirements.
7. Cancellation or Rescheduling by AAIS
In the event that AAIS needs to cancel, postpone or reschedule a lesson or course, we will make reasonable efforts to notify the customer and communicate the available alternatives.
Depending on the circumstances, AAIS may offer a rescheduled lesson, a replacement session, an alternative tutor or another appropriate arrangement.
Where AAIS is unable to provide a paid service, any refund, replacement service or other remedy will be determined in accordance with the agreed course terms and applicable law.
AAIS will not rely on this policy to retain payment for services that have not been provided where a refund or other remedy is legally required.
8. Statutory Cancellation Rights
Customers who enter into contracts with AAIS as consumers may have cancellation rights under applicable UK law, including the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, where those regulations apply.
For certain contracts concluded online or at a distance, consumers generally have a 14-day cancellation period beginning on the day the contract is entered into. The precise rules and any applicable exceptions depend on the nature of the contract and the circumstances.
Where a customer requests that a service begins during a statutory cancellation period, additional requirements may apply, including requirements concerning the customer's express request, information and consent. The amount payable following cancellation may depend on the applicable legal provisions and whether the required steps were completed.
Customers wishing to exercise a statutory cancellation right should contact AAIS in writing as soon as possible and clearly state their intention to cancel.
Nothing in this policy is intended to waive, restrict or replace any statutory cancellation rights that cannot lawfully be excluded. Where statutory rights apply, they will take precedence over any inconsistent provision of this policy.
9. How to Submit a Cancellation Request
To request cancellation of an enrolment or discuss the adjustment of an eligible amount towards a future course, customers should contact AAIS through the official contact details published on our website.
Please provide the following information to help us process the request:
- Customer or parent/guardian name, where applicable.
- Student name, if different from the customer.
- Course or subject name.
- Date of enrolment and payment reference, if available.
- Reason for cancellation, where the customer wishes to provide it.
- Whether the customer wishes to request an eligible course credit for future enrolment.
AAIS may contact the customer if additional information is required. We will review the request and communicate the applicable cancellation arrangements and any approved credit adjustment in writing.
10. Policy Interpretation and Fair Treatment
AAIS aims to communicate its cancellation and payment arrangements clearly and apply them consistently and fairly.
The enforceability of any cancellation, refund or course credit provision will depend on the relevant contract, the circumstances of the case and applicable law. If any provision of this policy is found to be unlawful or unenforceable, that provision will be applied only to the extent permitted by law, without affecting the customer's statutory rights.
This policy does not limit any rights or remedies available to customers under applicable consumer protection legislation.
11. Changes to This Policy
AAIS may update this policy from time to time to reflect changes in its services, business practices or applicable legal requirements.
The version published on our website will identify its effective or last-updated date. Any changes to the terms governing an existing enrolment will be handled in accordance with the applicable contract and law.
Customers are encouraged to review the policy before purchasing a new course.
